| Service is
important. By tracking the service calls, you can quickly identify
repeat problems, and if so, know that you are treating the symptoms
instead of the root cause. On the other hand, if a customer complains
that you preformed the same service several times, you can quickly
review the service history to see whether those calls were the same
or dealing with different units.
Windward System Five also includes a strong service module that
allows your service coordinator to schedule work, enter work orders
and assign priorities to that work, For example, a job can be flagged
as: urgent, important, service shop, waiting for parts, completed
and ready to invoice. You can create up to 16 priorities based on
your business and needs. As a work order (service ticket) progresses,
you can change the status from one type to another. The service
coordinator can then keep careful track of all open work orders
and schedule the technicians based upon priority, etc.
Windward
System Five can also schedule work, such as monthly or annual service
work with pop-up reminders. The system also tracks copy counts,
mileage or hours used for each piece of equipment so that you know
when service work was done and when more maintenance should be scheduled.
Whole Goods Management
Windward offers full support for equipment sales and service companies.
In some industries this is known as Whole Goods Management. We can
track an entire piece of working equipment instead of just the parts.
When you purchase a new unit, it will go into inventory as being
owned by you, and you can capitalize the cost. If you add value
to the item before selling it to the customer, you can create a
service invoice to remove the parts from inventory and add value
to the product.
Windward System Five can track whole goods such as cars, RVs,
tractors and trucks. When you purchase the items, they can be brought
into stock and assign you as the owner. If you add value to the
unit before the sale, you can remove the raw materials from stock
and increase the cost price of the unit.

Unit Histories
When you sell the unit, the ownership will change to the new owner
and all information will travel with the unit. If a unit has several
owners over the years, you will still be able to view the full service
history.
Unit Comments
You can customize the unit database system to allow you to track
important information to your customers. For example you can create
a place to store and retrieve information such as filters, or common
repair parts.
When a customer calls to order replacements, you can be assured
that your staff will have the information available to supply the
right goods, thereby improving your customer service and cutting
costs from embarrassing mistakes.
Technician Tracking
When service work is performed, you can enter in the technician,
record the time taken and also record the billable time. In some
cases, your technician may spend much more time than expected, and
which can actually can be billed for. This system will allow you
to track this and view technician productivity over periods of time.
Service Scheduling
Service work can be scheduled well in advance for each unit, ensuring
that you give top quality customer service. These calls can be scheduled
hours ahead of time, or months and years ahead for such things as
annual cleanings.
Equipment Rentals
Windward System Five can support automatic monthly billings and
can support extra charges, such as vehicle insurance-all depending
on how you charge.
Specialized Accounting Options
Whole goods are often tracked separately in an accounting system
instead of being tracked with repair parts and consumables. In addition,
capitalization, service, and repair tickets can be billed to different
ledger numbers to give you accurate reporting.
